    GRADES, ADJUSTED COURSE REQUIREMENTS, DEADLINES

    • What will be the grading system for the Second Semester of AY 2019-2020?
    The UPD Executive Committee Meeting last 23 April 2020 resolved to adopt the following grading system:
    1. The faculty will give a grade of Pass to students whose status is passing or are satisfactorily complying with course requirements, in the judgement of the faculty.* Please refer to OVPAA Memo 2020-062, dated 22 May 2020.
    2. A faculty, with the permission of the concerned department or unit, and in consideration of what is beneficial to the student, may qualify the grade of Pass by providing an adjectival remark following the UP General Catalogue 2014, as follows: Excellent (1.00 - 1.25); Very Good (1.50 - 1.75); Good (2.00 - 2.25); Satisfactory (2.50 - 2.75); Pass (3.00).
    3. The faculty, on her/his own volition or upon the request of the students, may give a numeric grade in lieu of a Pass. For the third option, it would be best for the students to coordinate with their professors, should it be necessary to pass adjusted course requirements.

    • What are adjusted course requirements?
    Adjusted course requirements involve adjusted delivery and assessment of courses, as determined by the faculty, due to the disruption of the regular semestral schedule – ECQ, limited access to the internet among many students. The adjusted course requirements may be used to serve as basis of a numeric grade, if requested by the students.

    • If the student chose to have a numeric grade upon the end of the Second Semester AY 2019-2020, until when can he/she submit the adjusted course requirements?
    The student can submit the adjusted course requirements until 16 June 2020, if sh/he wishes to obtain a numeric grade for the course at the end of the Second Semester AY 2019-2020. A student who chooses a numeric grade but is unable to complete the adjusted course requirements by this date will have a deferred grade. He/She has  until 31 May 2021 to do so. Deferred grade means a blank in the report of grades for the current semester.

    • If a student opts for a numeric grade, will it be included in the computation of the student’s general weighted average (GWA)?

    • When is the deadline for the submission of grades by the faculty?
    The deadline for submission of grades is until 24 June 2020, based on the Adjusted Academic Calandar (see corresponding tab on the left).

    • Can a student still drop his/her courses for the 2nd Semester of AY. 2019-2020?
    Yes. As per Memo No. OVPAA 2020-38 dated 17 March 2020, the deadline for dropping has been lifted. Application for dropping can be done via the CRS with approval by the concerned faculty member. Dropping of courses may be done to allow students to reenroll in the course in the next semesters. See also "Residence, LOA, dropping" tab on the left (Source: BOR Resolution)

    • Will students be required to accomplish Student Evaluation of Teachers (SET) so that they will not be tagged as “low “priority” during the midyear enlistment?
    No. SET Answering is suspended. As such, they will not be tagged as “low priority” during the enlistment.

    • Until when can a student remove an INC obtained during the Second Semester AY 2018-2019?
    A student who incurred an INC during the Second Semester AY 2018-2019 shall be allowed to remove the INC until First Semester AY 2020-2021. Key reference: BOR Resolution
    • How will the new grading system affect students on financial assistance?
    Policies on student financial assistance which are tied to scholastic standing are suspended. Key reference: BOR Resolution.

    RESIDENCE

    • Can a student still apply for residence for the Second Semester AY2019-2020?
    Yes, please view flowchart. For payment procedures, see below.
    • Maximum Residence Rule
    Students who wish to apply for a waiver of Maximum Residence Rule (MRR) must send a letter to the Dean, Asian Center thru the College Secretary, Asian Center.

    MRR, RE-ADMISSION and ACADEMIC STANDING

    • How will the suspension of classes affect the Maximum Residence Rule (MRR) for students?
    Residence for the Second Semester AY 2019-2020 shall not be included in the reckoning or in the counting of years of residence of a student. Students who wish to apply for a waiver of Maximum Residence Rule (MRR) must send a letter to the Dean, Asian Center thru the College Secretary, Asian Center. Key reference: BOR Resolution
    • Re-admission and Return from LOA
    A student who wishes to be re-admitted must submit a letter of request for admission to the Dean through the Office of the College Secretary. Student must do so before the beginning of the First Semester Academic Year 2020-2021.

    • How does the suspension affect the rules on academic standing (delinquency)?
    The following rules on scholastic standing (delinquency) are suspended for the Second Semester AY 2019-2020: Warning, Probation, Dismissal, and Permanent Disqualification. Key reference: BOR Resolution

    LATE REGISTRATION and CHANGE OF MATRICULATION

    This memo was released on 21 May 2020. It details the payment procedures for the above, and other guidelines.

    DROPPING, LEAVE OF ABSENCE (LoA), AND RESIDENCE

    • What will happen to my courses taken in the Second Semester AY 2019-2020 if I fail to comply with academic requirements as prescribed in the UP System Policy on the Second Semester AY 2019-2020 in the time of COVID-19?
    Courses taken in the Second Semester of AY 2019-2020 that remain without grades by 31 May 2021 will be automatically given a "DRP" grade (OVPAA Memo 2020-98). After which, students may re-enroll in the same or equivalent courses in the succeeding semesters. Students may also choose not to pursue the courses they enrolled in during the Second Semester AY 2019-2020. They may inform the University Registrar through their respective Deans. The courses will then be deemed as dropped by 21 May 2021. 
    • Can a student still apply for Leave of Absence (LOA) for the Second Semester AY 2019-2020?
    Yes, application for LOA can be done via the CRS. Key reference: BOR Resolution
    • How do I file and pay for LOA, dropping, and residence?
    This memo was released on 26 May 2020.
    Online Payment Process of Residence Enrollment (2nd Sem, AY 2019–2020)
    Leave of Absence and Dropping.     STUDENT LOANS, INTEREST, and CLEARANCE

    According to The Office of the Vice Chancellor for Student Affairs, "interest computation for all loans for the 2nd semester AY 2019-2020 is suspended."Also, "students who are processing their clearance and have loan balance are advised" to consult this memo (JFA-2020-016) for payment instructions. This process applies to students with loans and are processing their clearance.

    Payments and Procedures: Late Registration and Change of Matriculation

    This memo was released on 21 May 2020. A note adds that the entire process outlined in the memo is "valid until the online payment modules in CRS are deployed." For reference, the memo features a copy of the payment slip, which will be sent to the student after emailing his/her request.

    This memo was released on 26 May 2020. It begins "since dropping and LOA deadlines for Second Semester 2019–2020 were lifted and residence may be done with the semester...., these processes are not considered late, hence there is no need for appeal."

    Graduating Students

    • When is the last day for Asian Center students to clear their deficiencies?

     The students can clear their deficiencies until 22 May 2020. Key Reference: "Adjusted Academic Calendar" tab

    • What are the clauses concerning graduating students in the UP System Policy on the Second Semester AY 2019-2020 in the time of COVID-19?

    Section 8 of the UP System Policy adopts the following guidelines for graduating students:

    8.1 Graduating students completing the requirements by the deadline set by the CU for the Second Semester AY 2019-2020 shall be endorsed for graduation to the BOR when it meets to approve the candidates for graduation in June or July 2020;

    8.2 Graduation ceremonies are postponed to a more auspicious time;

    8.3 Graduating students as of the end of the semester with deferred grades who complete their requirements after the deadline set by the CU for the Second Semester AY 2019-2020 shall be endorsed for graduation to the BOR in the semester when the student has completed the requirements for graduation. However, the student shall be deemed graduated as of the Second Semester AY 2019-2020.

    • On Student Loans, Interest Computation, and Clearance

    If you were supposed to take your comprehensive and qualifying exams for the Tri-College PhD Philippine Studies Program this semester (Second Semester, Academic Year 2019–2020), please fill out this survey form. It is still to be determined whether either exam will be administered online or onsite. This will be announced later on.

    Please be advised that we are still testing the Online Assessment Program that will be deployed for the comprehensive/qualifying exams. We hope to be successful in the final, actual run before the end of the month. As with the UP Open University ASEAN Studies Program, we will do a mock exam for the students to have a feel of the online platform that we will deploy.
